Privacy Statement
How GuideXpresse handles personal data on guidexpresse.com: what we collect, why, how long we keep it and what your rights are.
1. Who we are
GuideXpresse, Edisonstraat 3E, 2723 RS Zoetermeer, the Netherlands (Chamber of Commerce 53478614), is responsible for processing personal data on this website. Questions about privacy? Ask them through our .
The museum app infotainment.guide has its own privacy statement.
2. Enquiries and contact
When you request a quote (audio guides, whisper sets, multimedia guides, voice-overs), a maintenance contract, or ask us to call you, we receive what you fill in: name, organisation, email address, phone number, address and the details of your request. If you enter your customer number, the form retrieves the company details we already hold for you.
We use this to handle your request (basis: your request). It is stored in our own customer system and our mailbox. If a request does not lead to an order, we keep it for at most 2 years after the last contact.
3. Customers and orders
When you register as a customer, we record company, address and contact details, including those of your financial contact. When you order online (such as the Orpheo Airset or GuideXpresse Manager), we process the order details; payment runs through Mollie and we do not see your bank or card details.
We need this to deliver and invoice (basis: the contract and our legal obligations). We keep it for 7 years after the customer relationship ends, the statutory retention period for financial records.
4. Newsletter and articles
Newsletter. When you sign up, we store your first name, email address and language in our own customer system and send you a confirmation email. Only after you confirm do you receive the newsletter (basis: consent); if you do not confirm, we delete your details after 30 days. Every newsletter contains an unsubscribe link. If you unsubscribe, we keep only your email address marked "unsubscribed", so that you never receive unsolicited email from us again.
Articles by email. Now and then we personally send business contacts we already have a relationship with a new article about our field (basis: legitimate interest). Every email contains an unsubscribe link.
5. Voice actors
When you sign up via "Promote your voice", we receive your name, email address, phone number, website, gender, native language, your description, a photo and a voice sample. After our approval, "Find a voice" shows only your photo, voice sample, language, gender and style, not your name or contact details (basis: consent). If you no longer want to be listed, let us know through the and we will remove your profile.
6. Spam protection and server logs
To protect our forms against spam, we register the IP address, browser and email address of a submission. We keep this for 2 days for the check itself and 30 days in a log file to investigate misuse. The web server also records technical data per visit (IP address, page, time, browser); these logs are deleted after at most three months (basis: legitimate interest).
7. Visitor statistics (Google Analytics)
We use Google Analytics to see how visitors find and use the site, so we can improve it (basis: legitimate interest). We have set it up to be as privacy-friendly as possible: data sharing with Google is switched off, Google signals and detailed location and device data are off, there is no advertising link and Google Analytics does not store IP addresses. Event data is deleted after 2 months, user-level data after at most 14 months. Google may process data in the United States; Google is certified under the EU-US Data Privacy Framework.
You can block the Google Analytics cookies in your browser or use Google's opt-out add-on.
8. Videos and maps
Some pages contain a YouTube video, embedded in privacy-enhanced mode (youtube-nocookie.com). When the video loads, YouTube (Google) receives your IP address. If you open the map under "Address", Google Maps loads and Google also receives your IP address. The Google reviews on the site are fetched by our own server; none of your data goes to Google in that process.
9. Cookies
This website only uses the analytics cookies of Google Analytics (_ga and _ga_*, see above). Your choice of light/dark theme and text size is stored locally by your browser and is not sent to us. We use no advertising or tracking cookies.
10. Who we share data with

- Mollie (the Netherlands)
- Payments for online orders.
- Google Analytics, YouTube and Google Maps (see above).

11. Your rights
You may ask to see, correct or delete your data, to restrict its use or to receive it in a usable format, and you may object to processing based on legitimate interest. If you gave consent, you can withdraw it at any time. You can do so through our ; we respond within one month. Some data we must keep by law, such as invoice data.
